EMAIL CONTROL.

Today's main source of communication is of course the email. And I think the better you control your inbox, the better you control your life. My process is based on tons and tons of folders...at last count: 73. When I get in to work and launch iMail, all the emails flood my Inbox as I'm sure it does for you. I scan through the emails from oldest to newest. If I can reply and/or take care of the email in under 2 minutes, I do it right then and there and file into its respective folder. If I can't, then I leave it my Inbox for dealing with later. By the end of each day, I try to not have more than 40 emails in my Inbox. On a productive day, I have under 20. I just came back from a week long trip with little email access and I had over 180 emails in my Inbox. That stresses me out like nothing else, so it then becomes my mission in life to get that number down. (It's now at 42 and counting...) I kind of make a game out of it. I also set my iMail to fetch emails every 15 minutes instead of every minute. This way, I actually have a chance at catching up before another little batch lands in my box. I know friends who don't use folders at all and instead opt for using the very useful "Search" field in most email apps. Hence, they have something like 8,000 emails in their Inbox. This would drive me crazy...but alas, to each his own. As for SPAM, I use a great spam filter called SpamSieve. I highly recommend this. I would say it has like 97% accuracy. I don't keep To Do lists for the most part. I shoot myself emails of things I need to do and just take care of them when I review them in my Inbox. I'm always looking for more efficient ways to work so if anyone has some tips, I am all ears. How do you organize your emails...and your life?
今の主なコミュニケーションツールはメールです。そして、僕は受信トレイをより良くコントロールすることが、人生をより良くコントロールできるとことだと思います。僕の手段はたくさんのフォルダー。。。最後に数えたときは73個。会社に着いたら、iMailを起動し、メールが受信トレイにあふれこみます。みんなと同じように。古い順からメールをチェックします。2分以内に返信か対応できるメールはすぐして、各フォルダーに移します。出来なければ受信トレイに入れて後で対応します。一日の最後にメールが受信トレイ内に40通以下であるようにしています。仕事が良く出来た日には20通以下です。先日僕はメールのアクセスが少なかった一週間の旅から帰ってきたら、180以上のメールが受信トレイの入っていました。これは何よりもストレスを感じる事ですが、僕の人生の任務はこの数を減らすことです。(ただいま42通でさらに減少中。。。)これをちょっとしたゲームにしています。それと、iMailを毎分ではなく15分おきに受信するように設定しています。そうすれば次の何通かのメールが届く前に目標数に追いつく時間がつくれます。僕の友人はフォルダーを使わず、とても便利な「検索」アプリケーションを使うので、8000通のメールが受信トレイにあります。それをやったら僕は頭がおかしくなってしまいますが、人それぞれですね。スパムメールに関しては、SpamSieveというスパムフィルターを使っています。とてもお勧めです。97%くらい正確だと言えます。僕は基本的に TO DO リストを作りません。そのかわり、やらないといけないことを自分にメールして、受信トレイを見るときに対応することにしています。もっと効率的なやり方があったら、ぜひ聞きたいです。あなたはメールをどの様に整理していますか。。。そしてあなたの人生も?

i cant stand emails sitting in my inbox. im an avid gmail user so all emails that have not been handled are archived and labeled accordingly. i try to keep my inbox completely empty besides things/emails that havent been handled yet.

as far as organization goes, gmail + google calendar (sync with ical) + iphone = leaves me pretty updated with anything going on in my life.

office enforced pc and outlook environment..i have to look to online management tools for my daily tasks.

I have three folders and my inbox in mail app. One is called 'Followup'. I put everything in there which I need to read or answer. One is called 'Hold'. I put everything in there which I need for a current project. The third one is called 'Archive'. I put everything else in there which I might need in the future.

There is a very cool plugin for the Mac OS X mail app called 'Mail Act-On'. It gives you the possibility to execute filter rules with a key stroke. That helps me to go through my inbox and process the new mails into the various folders. Through this I can always keep my inbox clear and focus on working through my 'Follow up' folder.

I use the folder method. If the folders have descriptive names and are nested properly, glancing at them is faster than a search for me. The inbox should be as empty as possible at all times.

Most of my e-mail goes automaticaly in the right folders,you can do that in outlook.But that only aplies to my regular contacts.
Other things i just reply/delete/do nothing and spending an hour a day trying to find emails back.

Well, as for my emails, I'm not as popular as you apparently. lol.

BUT being a fashion design student at Parsons, time management is key to survival. Most kids don't sleep for nights at a time.

Anyways. I have a planner and another moleskine notebook.

In the moleskine, I write down the assignments and the to do's and notes on how to do each thing, and what needs to be done to complete that task.

At the end of the day, after I've accumulated the tasks for whats due the next week. I write which things are due on the respective days in my planner. Also in the planner, I make task lists for each day. (like monday I'll draw something, and the next day I'll paint it, etc.)And I number the order in which things should get done first to prioritize.
This way, I pace myself and get work done without losing sleep and time. It also allows me to get work done way ahead of time and I can move things around easily. PLUS, it keeps me from hating Parsons as much as other people do.

word. that was long. but thats how I organize my life.
